Privacy Policy

Last Updated: October 19, 2026

This Privacy Policy explains how CalendarFundraiser.com ("we," "us," or "our") collects, uses, and protects your personal and non-personal information when you use our website located at https://calendarfundraiser.com (the "Website").

By accessing or using the Website, you consent to the practices described in this Privacy Policy.

1. Information We Collect

1.1 Personal Information
When you use our Website or purchase our products, we may collect:

Name – Used to personalize communication and manage your account.
Email Address – Used for sending updates, order details, and customer support.
Payment Information – Collected through secure third-party payment processors. We do not store payment information on our servers.

1.2 Non-Personal Information
We collect non-personal data via cookies and similar technologies, including:

Browser type
Device information
IP address
Usage patterns

This helps us analyze trends, improve our services, and enhance user experience.

2. How We Use Your Information
We use the collected data for the following purposes:

Processing and fulfilling your orders
Sending confirmation emails and updates
Providing customer support
Improving website performance and service quality
Communicating important product or policy changes

3. Data Sharing and Third Parties
We do not sell, rent, or trade your personal information.

We may share your information only with trusted service providers necessary to:

Process payments
Deliver product updates
Improve user experience

All third-party partners are required to protect your information and comply with relevant data protection laws.

4. Data Security
We implement appropriate technical and organizational measures to protect your data. Sensitive information is transmitted over secure connections and stored with strong access controls.

5. Your Rights
If you are a resident of the EU or a region with similar data laws, you may:

Request access to your personal data
Request correction or deletion of your data
Object to or restrict our processing of your data
Withdraw consent at any time

To exercise these rights, contact us at support@calendarfundraiser.com.

6. Cookies
Cookies help us personalize your experience and collect anonymous usage data. We also use measurement tags from Google (Google Analytics and Google Ads), Microsoft Advertising and OpenAI Ads to understand which of our ads lead to sign-ups; these providers handle that data under their own privacy policies. You can control or disable cookies through your browser settings.

7. Children's Privacy
The Website is not directed at children under 13. We do not knowingly collect data from children. If you believe your child has provided personal data, contact us to have it removed.

8. AI Assistant Connections
If an organization admin connects an AI assistant (for example ChatGPT, Claude, Gemini, or Grok), that assistant can access the organization's campaign data through our AI interface: campaign details and totals, donation records (donor names and messages, but never donor email addresses or phone numbers — donors who chose to remain anonymous stay anonymous), participant names and fundraising totals, and campaign share links. This access is granted only by the organization's own authorization, is limited to that organization, and can be revoked at any time from Settings → AI Access. Data shared with a connected AI assistant is then handled under that AI provider's own privacy policy.

9. Text Messages (SMS)
If you give us your mobile number and check the separate text-message consent box when joining a campaign, we use that number only to send you text messages about your fundraising page, on behalf of the organization running the campaign. We keep a record of your consent (the date and time, the page, and the exact wording you agreed to) and honor opt-outs: reply STOP to any message to stop texts. For help, reply HELP, email support@calendarfundraiser.com, or call 1-800-363-7541.

No mobile information will be shared with third parties or affiliates for marketing or promotional purposes. Information may be shared with service providers who help us deliver messages (such as our SMS provider, Amazon Web Services, and wireless carriers) and support our services. All other categories exclude text messaging originator opt-in data and consent; this information will not be shared with any third parties.

The mobile number you provide for text messages is stored separately from public campaign information and is not shown on leaderboards or campaign pages.

10. Slack
If an organization admin, or a sponsor using the link we send them, connects CalendarFundraiser to Slack, we store: the Slack workspace's id and name, the id and name of each channel chosen, the channel's posting link, the app's access token for that workspace, the posting choices made (including whether donor names are shown), and who connected it. If an organization admin adds a Slack workflow to a campaign, we also store that workflow's web address, its name, and the choices made for it. We do not read Slack messages, channel history, or files, and we never store Slack messages.

Messages we post to a connected channel, and the values we send to a workflow the organization added, can include the campaign's name, the date claimed, the amount, progress toward the goal, a participant's name as the campaign's leaderboard shows it, and the donor's name as shown on the public calendar. Donors who chose to remain anonymous appear as "Anonymous", and an organization admin can turn donor names off for any channel or workflow. Donor email addresses and phone numbers are never sent to Slack.

Disconnecting a channel, or removing a workflow, deletes what we stored for it. Removing the app from a workspace, or revoking its access, deletes the workspace's access token and every channel connection and workflow address for it. To avoid posting the same gift twice, we keep a short record of which gifts were already posted (ids only, no names); it is deleted automatically after 120 days. Slackbot's use of CalendarFundraiser follows section 8.

11. Student Rosters from a School System (OneRoster)
If a school's organization admin imports students from the school's student information system using OneRoster (an export file or a direct connection the district provides), we read only each student's first name, last name, grade and homeroom, and use them to create that student's participant page in the school's campaign. We do not store student email addresses, phone numbers, birth dates, ID numbers or any other record from the school system, and the export file is not kept. For a direct connection we store the district's OneRoster address and key, with the secret encrypted; disconnecting deletes them. Participant pages show names according to the campaign's name privacy setting.

12. Canvas
If a school adds the Calendar Fundraiser app to its Canvas (from Instructure), Canvas sends us a signed launch each time a teacher or student opens the app. The app is installed with Canvas's "anonymous" privacy level and requests no additional permissions, so the launch carries no names, email addresses or grades: only the person's role (teacher or student) and ids for the course and the installation. We keep which course shows which calendar, stored under a one-way code of those ids, and a short record that each launch was used once. The calendar card a teacher inserts into Canvas contains only the public calendar link and picture.

13. Changes to This Policy
We may update this Privacy Policy to reflect changes in our practices or legal requirements. Updates will be posted here, and users may be notified via email for significant changes.
