The hardware, paid for by the season

Trophy Fundraiser

Pick a Date. Pay for the Hardware.

Every player gets their own calendar. Family claims a November date and gives that amount — Day 3 = $3, $465 per player — and you keep 100% of calendar donations. A 30-day month raises $465; a 31-day month raises $496.

32 days to the awards night.

What is a trophy fundraiser?

A trophy fundraiser is a pick-a-date calendar fundraiser that pays for the end-of-season hardware: the trophies, the medals, the plaques, the banquet. Every player gets their own calendar under the booster club's campaign; family and friends pick a November date on that player's calendar, the date is the price, and every claim shows their name and a message for the player. Awards night is the deadline.

A real campaign, hour by hour

How a trophy fundraiser fills in 72 hours

Real numbers, real calendar. One youth basketball club, two waves, hour by hour — including the launch-timing mistake worth avoiding.

Build the team campaign and go live on a Tuesday or Wednesday evening in October, when the awards night is being planned. Players join through the club's link and each gets a personal calendar by email that night. Expect the money in the first week, then one team message on day 5 — the club above skipped it and waited a week for its second wave.

Everything a trophy fundraiser needs

Built for the booster club that pays for the trophies out of pocket every year: one campaign, a calendar per player, and the hardware paid for before awards night.

The date is the amount

Ideas

Trophy fundraiser ideas that fill the calendar

  1. 01

Launch on a weeknight in October

The awards night gets planned in October. A calendar that goes live on a Tuesday evening is filled before the trophies are ordered — and it starts a day and a half faster than a Sunday-night launch.

  2. 02

Every player joins the first night

Share the club's join link in the team group text after practice. Each player who joins gets their own calendar and QR code by email that night.

  3. 03

    Grandparents take the 30th

Ask every player to text their calendar to a grandparent first and ask them to claim the last date. A claimed 30th on day one pulls the rest.

  4. 04

Season memories on the supporter wall

Every claim shows a name and a message. Ask family to write their favorite moment of the season in the message field, and read the wall at the banquet.

  5. 05

Print each player's QR code on the roster

Every player's calendar gets its own QR code. Put the roster with QR codes on the concession-stand table — a scan lands on that player's calendar.

  6. 06

Set the calendar to 2× for a championship season

Championship rings need more than $465 a player. The 2× date-pricing setting makes the 14th $28 and a full month $930 per player.

  7. 07

    Team leaderboard at practice

The leaderboard shows every player's total. Post it in the gym before each practice — the competition before the competition.

  8. 08

    Keep the banquet free

With the calendar covering the hardware and the banquet, nobody sells tickets to the awards night, and every gift lands with a receipt.

  9. 09

Send the team message on day 5

The team message tab emails every player's family at once. Skip it and the second wave arrives a week late — the real club above learned that the hard way.

  10. 10

Post the filled calendars at awards night

Print the top calendars with every name on them. Next season, share the campaign again and the same families come back.

Questions

Trophy Fundraiser FAQ

How much can a trophy fundraiser raise?

All 30 November dates claimed totals $465 per player at standard pricing. Twelve players on one campaign is $5,580 at full claim; real team campaigns fill 60–85% of their dates. Set the calendar to 2× and each player raises up to $930.

How does a team calendar work?

The booster club builds one campaign and shares a join link. Every player who joins gets their own calendar and QR code by email, family claims dates on that player's calendar, and the leaderboard shows every player's total.

What does a trophy fundraiser cost to run?

Building and running a campaign is free. Givers pay a small service fee at checkout, shown before they pay, and the club keeps 100% of calendar donations. The fee is described in full in our Terms of Service.

When should a trophy fundraiser start?

Whenever you are ready. This is 2026: click and text, they pick a date and give. Most groups run it in the month before the event so the money is in before it is booked.

Does every player need an account?

No. Players join through the club's link with a name and an email, and their calendar and QR code arrive by email. Givers need nothing at all.

When does the money arrive?

Donations settle into the club's own Stripe or Square account. With Stripe, the standard schedule pays out to your bank after 7 days; Square follows its own payout schedule. Either way, payouts run on a regular cycle and go to your bank automatically — you don't have to do anything.

Do givers need an account?

No. It's a web link: tap a date, enter a name, pay with Apple Pay, Google Pay, Cash App, or card.
