What is a fall festival fundraiser?

A fall festival fundraiser is a pick-a-date calendar fundraiser that pays for the school or church fall festival: the hayride, the game booths, the pie table, the pumpkins, the bounce house rental. Instead of selling wristbands at the gate, families pick an October date on a shared calendar in September, the date is the price, and every claim shows the supporter's name and their message for the school. Festival day is the deadline.

Nobody sent the day-5 nudge — days 9 and 10 raised $67

The Email Team tab was never used, so the calendar went quiet at 64% of goal. One team message on day 5 — "we're at $2,700, the 20s are wide open" — is the single step this playbook adds.

Launch in September. Every room parent in the first night. Nudge on day 5.

Build the calendar the week school starts back and go live on a weeknight. Every room parent shares the link the same evening so the first wave lands before the festival committee meets. Expect the money in 72 hours, one team message on day 5, and the ends-in-24-hours email closes it the day before the festival.

Ideas

Fall festival fundraiser ideas that fill the calendar

  1. 01

    Launch the week school starts

September is when families are paying attention to the school again. A calendar that goes live in the first two weeks fills before the festival committee has booked the hayride.

  2. 02

Send festival day to the principal first

Text the link to the principal or the pastor and ask them to claim the festival date. A claimed festival day on day one pulls the rest of the calendar.

  3. 03

    One grade, one week

Give each grade a week of dates and share the same link with every room parent. The grade that fills its week first gets the front table at the pie contest.

  4. 04

Pie-contest votes on the supporter wall

Every claim shows a name and a message. Ask families to name the pie they're rooting for in the message field, and announce the crowd favorite at the festival.

  5. 05

Print the QR code on the festival flyer

Every campaign gets a QR code the moment it's built. Put it on the flyer, the classroom doors, and the church bulletin — a scan lands on the calendar.

  6. 06

Give the booth sponsors the high dates

Days 25–31 cover the bounce house and the hayride. Send those with a personal text to the families who always ask how to do more.

  7. 07

Set the calendar to 2× for a whole-district festival

A festival for 500 families needs more than $496. The 2× date-pricing setting makes the 13th $26 and a full October $992 from the same 31 dates.

  8. 08

    Keep the games free

With the calendar covering the budget, the booths can be free at the gate. Nobody sells tickets, nobody handles cash, and every gift lands with a receipt.

  9. 09

Share it where the parents already are

The share menu sends the link by text, email, or WhatsApp in one tap. The class group text beats a flyer in a backpack every time.

  10. 10

Post the filled calendar at the entrance

Print it and hang it at the festival gate with every supporter's name. Next September, share last year's calendar with the new link and it fills itself.

Questions

Fall Festival Fundraiser FAQ

How much can a fall festival fundraiser raise?

All 31 October dates claimed totals $496 at standard pricing. Set the calendar to 2× and the same 31 dates raise up to $992. Team calendars multiply that by the number of participants.

What are the best fall festival fundraiser ideas for schools?

A pick-a-date calendar needs no product, no inventory, and no volunteers at a ticket table: families claim an October date and give that amount. Keep the booths and the pie contest as the draw, and the calendar as the money.

What does a fall festival fundraiser cost to run?

Building and running a calendar is free. Givers pay a small service fee at checkout, shown before they pay, and organizers keep 100% of calendar donations. The fee is described in full in our Terms of Service.

When should a fall festival fundraiser start?

Whenever you are ready. This is 2026: click and text, they pick a date and give. Most groups run it in the month before the event so the money is in before it is booked.

Do we need to be a nonprofit?

No. PTOs, PTAs, churches, booster clubs and individuals all run calendars. You need a payout account in your name — Stripe or Square — and that's it.

When does the money arrive?

Donations settle into your own Stripe or Square account. With Stripe, the standard schedule pays out to your bank after 7 days; Square follows its own payout schedule. Either way, payouts run on a regular cycle and go to your bank automatically — you don't have to do anything.

Do givers need an account?

No. It's a web link: tap a date, enter a name, pay with Apple Pay, Google Pay, Cash App, or card.
