Student Trip Fundraiser
Pick a Date. Send Them on the Big Trip.
Grandparents, neighbors and family friends each pick a date, and the date is the donation — Day 3 = $3. A full calendar raises $496 toward the band, choir, dance or cheer trip, and you keep 100% of calendar dollars.

Maya's Big Trip
The band is marching in Orlando this spring — every date gets Maya closer. Day 3 = $3.
What is a student trip fundraiser?
A student trip fundraiser is a pick-a-date calendar that helps pay a student's share of a group trip — the band performing in Orlando, the choir tour, the dance or cheer competition, the class trip to Washington. Supporters pick a date, the date is the donation, and their name goes on the student's calendar. One student can run their own, or the whole group can run one campaign where every participant gets their own calendar.
How a student trip fundraiser fills in 72 hours
Real numbers, real calendar. One competition team, one September, hour by hour. Every calendar fills the same way, yours included.
Create the calendar and connect payouts — 6 minutes
Account 5:28, campaign 5:30, Stripe 5:31, live 5:34. Goal set per participant × 12. Public before dinner.
The team joins — each gets a personal link and QR by email
Join link in the team group text. First member 5:55, four by 9 PM, thirteen within the week. This automatic email did the work: 217 of 219 gifts came through personal links. No invite list was ever uploaded.

First gift in two hours, 21 by midnight
Members texted family the same evening. $224 before bed. Round dates went first — the 10th, 20th, 25th and 30th were the most-claimed all month.
73% of the money in 72 hours
Day 2 $843, day 3 $1,006, day 4 $515. Peak hour 8 PM, second wave 9–11 AM; per day, weekdays out-gave weekend days about 1.6 to 1. $2,588 by the end of day 4.
Late joiners bring their own wave
Three more members joined on days 3, 4 and 6, each with a fresh family burst. 119 donors, $16.29 average gift, 1.65 dates per checkout, 72% left a message on the calendar.
Nobody sent the day-5 nudge — days 9 and 10 raised $67
The Email Team tab was never used, so the calendar went quiet at 64% of goal. One team message on day 5 — "we're at $2,700, the 20s are wide open" — is the single step this playbook adds.

Launch when the trip deposit is announced. Grandparents first. Nudge on day 5 and again on day 12.
Go live the week the director announces the trip and the first payment date. Text the link to grandparents and close family first, then post it to family, church and neighbors. Most of it comes in the first week; one reminder on day 5 and a re-send on day 12 bring in the rest before the payment is due.
Everything a student trip fundraiser needs
Built for the band, choir, dance and cheer families who sell candy bars and cookie dough every spring: one calendar per student, one link, and every supporter picks a date.
The date is the amount
31 dates, each a piece of the trip — the castle, the rides, the fireworks, the plane, the trumpet and the dance shoes. Day 20 is $20, Day 31 is $31.

One link, one QR
The family group chat, the concert program, the fridge flyer. Everything points at one calendar.
Student trip fundraiser ideas that fill the calendar
- 01
Grandparents take the first dates
Send the link to the grandparents before anyone else. A calendar that already has names on it is the one everyone else joins.
- 02
Say what the trip is
"The marching band is performing in Orlando over spring break" gets more dates than "band trip." Name the trip, the date and what it costs.
- 03
Put the QR on the concert program
Every campaign gets a QR code the moment it's built. Print it in the winter concert program and on the fridge flyer.
- 04
One calendar per student
Run the trip as a team campaign. Every participant shares their own link, and the leaderboard keeps the section going.
- 05
Match the payment schedule
Most group trips are paid in installments. Launch a calendar before each due date instead of one big ask.
- 06
Ask the section to share on the same night
When the whole trumpet section posts their links on one evening, a dozen calendars start filling at once.
- 07
Thank supporters from the trip
Post a photo from the trip with the filled calendar. Supporters love seeing where their date went — and they come back next year.
- 08
Set the calendar to 2× for a bigger trip
An airfare trip costs more than $496. The 2× date-pricing setting makes Day 20 $40 and a full month $992.
- 09
Let neighbors take the middle dates
Days 10–20 are an easy yes for a neighbor or a coworker. Ask them by name.
- 10
Read the names at the send-off
Every claim shows a name and a message. Read them at the bus send-off — it's the thank-you, in front of everyone.

Student Trip Fundraiser FAQ
How much can a student trip fundraiser raise?
All 31 dates claimed totals $496 at standard pricing. Set the calendar to 2× and the same 31 dates raise up to $992. On a team campaign every participant has their own calendar, so the group total multiplies.
Can the whole band or team run it together?
Yes. Run it as a team campaign: every participant gets their own calendar and link, families share their own, and the director sees each participant's progress and the group total.
What does it cost to run?
Building and running a calendar is free. Supporters pay a small service fee at checkout, shown before they pay, and you keep 100% of calendar dollars. The fee is described in full in our Terms of Service.
When should we start?
Whenever you are ready. This is 2026: click and text, they pick a date and give. Most families launch the week the trip and its first payment date are announced.
Who receives the money?
The person or organization that connects the payout account — Stripe or Square — receives the donations. Many booster clubs collect for the whole group; a parent can also run a calendar for one student.
When does the money arrive?
Donations settle into your own Stripe or Square account. With Stripe, the standard schedule pays out to your bank after 7 days; Square follows its own payout schedule.
Do supporters need an account?
No. It's a web link: tap a date, enter a name, pay with Apple Pay, Google Pay, Cash App, or card.
